Creating Simple Invoices using Rapid Order Entry Pre-Fonteva 20Spring
Staff users can use the Rapid Order Entry interface to create simple Invoices in the backend.
How to Create a Simple Invoice using Rapid Order Entry:
Navigate to an Account or Contact record from the Account or Contact tabs.
Click the Rapid Order Entry quick action. The Rapid Order Entry page will open.
If desired, type a new Customer (Entity) name to search for the Account or Contact making the purchase, or create a new record by typing the name into the field and clicking Add from the dropdown. Otherwise, the Account or Contact you accessed Rapid Order Entry from will populate the Customer (Entity) field by default.
In the case of accessing Rapid Order Entry from an Account record, the Account will populate the Customer (Entity) field and a Contact field will generate populated with the Primary Contact for the Account by default.
Use the Item Quick Add field to search for items previously configured in the eStore.
Once an item is selected, type the Quantity.
Click Add to Order.
Once all items are added, select Invoice under the order total and click Go. The Create an Invoice page will open.
Create Invoice:
Shipping/Tax Address:
You will provide information related to the Contact in the Customer Information section. If taxes and/or shipping is included in the Rapid Order Entry, a Shipping/Tax Address field will be available here. The Contact's Known Addresses for Shipping/Tax will list with radio buttons to select which one to use. The address designated as Default will be automatically selected.
To edit a Known Addresses for Shipping/Tax:
Select Edit. An Edit Shipping/Tax Address window will open.
Edit the address name in the Name field.
Type a new address in the Address field. The field will automatically populate with addresses. Select from the options generated.
Alternatively, check Enter Address Manually to manually enter the address in the Street, City, State, Country, and Zip Code fields. The Address field will gray out.
Type any additional information in the Additional Details field.
Select Save to complete the edits. The Edit Shipping/Tax Address window will close, and the edited address will be available.
You also have the option to create a new Shipping/Tax Address. To create a new address:
Click the New Address button. The New Shipping/Tax Address window will open.
Edit the address name in the Name field.
Type a new address in the Address field. The field will automatically populate with addresses. Select from the options generated.

Type text in the Street, City, and Zip Code fields. Select the country and state form the Country and State picklists.
Type any additional information in the Additional Details field.
Select Save to complete creating the new address. The New Shipping/Tax Address window will close, and the new address will be available to use.
Shipping Information:
Select your desired shipping from the picklist under Shipping Information.
Invoice Information:
Type information for the fields under Invoice Information
Order Total:
You can modify item quantity and price as well as apply a discount code in the Order Total box.
To modify item quantity, type a new quantity in the QTY box for the item. If the item quantity cannot be edited, this field will not be available for the item.
Check Override to override the price for an item or shipping if needed. The price will become editable. Type a new price. The Override checkbox will not display for Subscription Items because pricing changes can have an impact on schedules and deferral amounts. Use Price Rules to configure the targeted price.
Type a discount code in the Discount Code field. Click Apply to apply the code.
Close and Post Invoice:
Click Close & Post Invoice to close and post the Invoice. click Close Invoice to just close the Invoice without posting it.
