Clone an Event
Event Cloning allows staff users to duplicate full events or sections of existing events without having to recreate them. Lightning and Community Style Events can be cloned. This is the easiest and fastest way to create events for your org.
Fonteva recommends creating a base event to clone from that only a select staff user is allowed to edit. This provides a clean, unchanging event to clone from that can be used repeatedly to create events quickly and efficiently. When creating this base event, try to include all the information you know you will always require for every event you create, such as a Venue your events always take place at, Ticket Types the event will always use, the Calendar Reminder Text you want sent out, and so on. This will save you time in the future when you clone event from your base event.
Note
Be sure to include a relevant title in your base event so your fellow staff users understand this is a template to clone from and not a regular event that can be edited.
Note
Do not to publish or mark your base event as Active, as you do not want it showing up for your users to access.
How to Clone an Event
When you're ready to clone an Event:
- Navigate to the Events tab.
- Click the New action to open the Clone Event Wizard. The Clone an Existing Event option will already be selected, enabling you to immediately begin cloning the Event.
- Enter the name of your Event in the Event Name field.
Select a date in the Start Date field.
Note
All Date and Time fields on cloned features will shift based on the Start Date of the new Event.
- Select your Event Category from the Event Category field.
- Begin to enter the name of the event you want to clone in the Event field. The matching results will generate in the picklist. Click the event to select it.
- Click Clone.
The Clone Event window will ask you which sections of the event you want to clone. Check the sections you want to clone. The following sections can be cloned: Ticket Types, Venues, Schedule Items, Sponsor Packages, Speakers, Event Statuses.
Note
You can pick and choose which sections of an Event you want to clone, leaving some sections out if you wish. The sections you leave unchecked will not be cloned, and the fields in these sections will be empty in your cloned Event.
Note
If a record within a section of an Event is selected but cannot be cloned, the user will receive an error message noting which records could not be cloned
Click Clone from the Clone Event window.
Note
The Status of the original Event will be immediately reflected for the cloned Event. If the Event is Active, change the Status back to Planned to position the Event to not be visible in the Portal.
Note
When cloning an Event, the Attendee, Sponsor, or Registration Item records will not be cloned. For example, when you clone an existing event the people who registered for that event will not be cloned in your new event.
Note
When cloning an event, Ticket Type access permissions will be cloned along with the Event.
