Advanced Calendar Days
Advanced Calendar Days specify how to process a subscription purchased within the specified number of days before the next calendar term. This functionality can be used to provide new members with a specific length of time in the current calendar term plus the following calendar term in the same purchase. This adds the additional time at a complimentary price rate.
For example, if your organization offers a promotion where new members joining in the fourth quarter also get the following year for the one year rate (15 months for the price of 12), the Advanced Calendar Days and the Advanced Calendar Free/Paid fields can be configured to accomplish this requirement.
Examples:
Advanced Calendar days can be free or paid. To illustrate this functionality, the examples below are based on a calendar period ending December 31st with dues of $120. Subscriptions purchased any time in the month pay for that month through the end of the calendar period (prorated):
Scenario 1: New Members joining between October and December receive those months free and their membership runs until the following December: The Advanced Calendar Days is set to "92" (October (31 days) plus November (30 days) plus December (31 days)). The Advanced Calendar Free/Paid field is set to "Free". This will cause any new memberships purchased between October 1st and December 31st to start on the purchase date and end on the following December 31st (up to 15 months in length). The price of the membership would be for 12 months.
Individual joins September 30, 2018. Her membership would run 9/30/18 thru 12/31/18 and her dues would be $30. Renewal needs to occur to be a member in 2019.
Individual joins October 12, 2018. His membership would run 10/12/18 thru 12/31/19 and his dues would be $120.
Individual joins December 20, 2018. Her membership would run 12/20/18 thru 12/31/19 and her dues would be $120.
Scenario 2: New Publication Subscribers purchasing between October and December receive those months at a pro-rated amount and their subscription runs until the following December: The Advanced Calendar Days is set to "92" (October (31 days) plus November (30 days) plus December (31 days)). The Advanced Calendar Free/Paid field is set to "Paid". This will cause any new subscriptions purchased between October 1st and December 31st to start on the purchase date and end on the following December 31st (up to 15 months in length). The price of the subscription would match the length of the subscription.
Individual purchases a magazine subscription on September 30, 2018. Her subscription would run 9/30/18 thru 12/31/18 and her fee would be $40 ($10 for 09/18, $10 for 10/18, $10 for 11/18, and $10 for 12/18). Renewal needs to occur to be a member in 2019
Individual purchases a magazine subscription on October 12, 2018. His subscription would run 10/12/18 thru 12/31/19 and his fee would be $150. ($10 for 10/18, $10 for 11/18, $10 for 12/18, and $10 for each month in 2019).
Individual purchases a magazine subscription on December 20, 2018. Her subscription would run 12/20/18 thru 12/31/19 and her fee would be $130. ($10 for 12/18, and $10 for each month in 2019).
If you create a subscription plan for a period of time that will not be valid for the renewal period, you will need to create a new Item and identify this new item within the renewal path of the original item.
Advanced Calendar Days is only available for Calendar Subscription Plans. See the Subscription Plans page for more information on the different Subscription Plans available.
Configure Advanced Calendar Days:
Backend staff can use the Advanced Calendar Days feature to configure a period before the start of the next calendar term during which new subscriptions are automatically extended to include the new term.
The Advanced Calendar Days feature is configured on the Subscription Plan. If the Advanced Calendar Days Free/Paid field is set to Free, then the Accounts Receivable will record the term Start Date, not the free membership period. The date on the Sales Order Line will not be the same as the Subscription date if the picklist value is set to Free.
Navigate to the Subscription Plans tab and select an existing Calendar Subscription Plan.
Click Edit. The Edit Subscription Plan modal will open.
In the Term and Calendar Options section, in the Advanced Calendar Days field, type the number of days before the start of the next calendar term during which new subscriptions are automatically extended to include the new term.
In the Advanced Calendar Free/Paid picklist, select Free or Paid. Paid days are automatically prorated based on the Subscription price.
Optionally, in the Proration section, check Enable Proration and configure the Proration Rule field. Proration is commonly used, as this allows for the distribution of the purchase price over a set time period.
Click Save.
